When working with events in Clock, you will encounter many different scenarios — from large-scale corporate conferences to intimate weddings and private celebrations. To help you understand the full power of the Event Management module, we’ve prepared two practical video series:
Corporate Event Example
Wedding Example
These two scenarios are only examples. The features demonstrated in the videos can be applied to any type of event — private parties, sports tournaments, banquets, retreats, and more.
It is very important that you watch both video series, even if you usually handle only one type of event. Each scenario highlights different features of the system, and by following both, you’ll gain a complete understanding of how the module works and how you can adapt it to your property’s needs.
The Corporate Event Example
This example focuses on handling a professional business event and demonstrates features such as:
Creating an Event and adding organizer, company, agent, deposit, and other key details
Using Event Templates to quickly generate standard schedules with pre-set activities, catering, and charges
Working with Blocks for accommodation management - assigning agreed rates/pricing; creating blocks for different occupancy (e.g. blocking DBL room for 2 people; blocking DBL room for 1 person)
Converting blocks to bookings and monitoring pick-up
Requesting guest lists (names) for accommodation and importing them to existing bookings
Managing Sale Stages and tracking opportunities in the Pipeline view
Sending Offers (Banquet Event Orders), Function Sheets, and using the Event Confirmation App
Tracking the event in Search screens and reports (Pipeline, KPIs, utilization)
Managing charges and invoices
The Wedding Example
This example shows how to manage a personalized wedding, step by step, and covers features such as:
Creating activities individually in the Activity Calendar (ceremony, reception, dinner, etc.)
Customizing Activity descriptions — internal notes for staff vs. external details for the couple
Setting up Blocks and Block Codes; how guests use those block codes to create their booking on the WBE
Adjusting PAX and dates, and understanding how these changes affect charges
Issuing final documents and invoices for the couple and ensuring smooth communication
Why Watch Both
By watching both video series, you will learn how to:
Confidently set up and manage events of any size and type
Track commercial progress through Sale Stages and see all opportunities in the Pipeline
Handle accommodation blocks and guest lists with ease
Communicate professionally with organizers using system-generated documents and confirmations
Track event performance and revenue through detailed reports
