1. Initial Setup

1.1 Navigate to Reports -> All Reports-> Data export-> Feratel export and enter the information

  • Country - You can select among Austria, Germany, Switzerland, Liechtenstein
  • Municipality number - ÖSTAT.
  • Company number - property identification number (mapping code).
  • Max children age - set the maximal age for children.
  • Start date - an initial starting date for export (to prevent any guests duplication, it's okay to be a future date). 

If guest data from all bookings created in Clock PMS+ have not been sent to Feratel by a previous system or any other way, you can set the date of the first real booking creation in the system in order to sync everything.

The initial sync is for the period between the configured start date and the current date. If you set the start date for the current date, none of the previously created bookings will be exported.

Example 1:

  • Today is the 15th of November
  • Your first bookings were created on the 1st of November.
  • The start date is configured to the 15th of November

Result:

None of the bookings created between the 1st and 15th of November will be included in the initial sync and updating them will not trigger any export

Example 2:

  • Today is the 15th of November
  • Your first bookings were created on the 1st of November.
  • The start date is configured to the 1st of November

Result:

All bookings created between the 1st and 15th of November will be included in the initial sync and updating them will re-trigger an export

Updating refers to changing the booking status (expected -> check-in -> check-out) as well as canceling or changing the arrival/departure dates.

If any of the guest data in the booking has been modified, it will be overwritten with the latest export.

1.2. Creation of a "gdpr_card_agreement" custom field

To create the required custom guest profile field, navigate to Settings -> All Settings-> Guest Profiles-> Guest Profile Fields-> click the '+' button and enter the following, in the exact same format and wording:

  • Field name - gdpr_card_agreement
  • Type - String
  • Value list:
    • true: Allow
    • false: Not allow

Under GDPR, it’s necessary for the guest to provide their consent to our transfer of their personal data to the card system for guest card creation purposes.

We highly recommend selecting this attribute for each guest, otherwise, in case of a possible opt-out (because of revocation from the guest), it must be done via the Feratel WebClient.

2. Export of guests from Clock PMS+ to Feratel Deskline.

The guest export is manual and done from the Export tab in the Feratel settings screen. The first export performs an initial sync and all bookings created between the configured start date and the current date, as well as all related guests. 

Bookings included in the initial sync will be exported again if updated after that.

Reservations not part of the initial sync will not get exported, even if they were updated after that.

3. History of exported bookings

In the History tab, you can see all successful and failed exports.

The Action column indicates what action caused the booking to be included in the export

As for the failed bookings, there is an error message with the reason for the failure.

Important:

  • You have to inform Feratel that you are using integration with Clock PMS+ for exporting guest details to their system.
  • DESKLINE 3.0 VT PMS WEB SERVICES has to be supported by your Fertel service
