Creation of standard rates

In the articles in this group, we will show you how to use the Clock PMS+ rate system in practice to configure your pricing conditions. We will work on an example pricing policy, the parameters of which can be found HERE.

What you need to know beforehand:

In Clock PMS+, each rate describes the prices for a specific room type with a specific board type.

This means:

  • You need to create as many rates as the number of meal types you offer for each room type.
  • In our example, we will work with two meal types:
    • breakfast included;
    • breakfast and dinner included.

Standard/Basic Rates

No matter how complex your pricing conditions are, always start the configuration with a basic (standard) rate. It sets the minimum conditions for accommodation.

In our example, we will start with prices that include breakfast.

Step 1: Rate plans

  • We will create a new rate plan called "Reception" - these will be the standard conditions valid for direct bookings at the reception desk.
  • Select which days of the week are weekends. This is important if you are going to apply different prices for weekdays and holidays. Specify the currency in which you will enter the prices.

Step 2: Rates

  • We create one standard rate for each room type. In this rate, we set the lowest possible price for the room. In our example: with breakfast, in other cases it may be "room only" (no meals included).
  • Enter a rate name for each room.
  • From the list, select the pre-set guarantee policy that will apply to these rates.
  • Pricing "Per room" or "Per guest"?:
    • If you select"Per guest", you can use the Guest Levels feature – different prices depending on the number and age of guests.
    • In our example, only the economy room has a "Per room" price (no conditions for children). We configure all other rates as "Per guest." We are currently ignoring the surcharge for dinner. For now, we are only setting prices with breakfast.

Step 3: Packages

  • Select the charge template for each rate.
  • From the predefined packages, we select the "Breakfast" package. The package allows the price to be broken down into elements (e.g., accommodation + breakfast) without changing the final value. The rate package is not mandatory, but if you want the system to separate breakfast as a separate charge, predefine the BB rate package in advance.
  • If applicable, select the tourist tax mode (see the article “ Tourist tax mode“).
  • In the "Board" field, specify the meals included - in our case, Breakfast.

Step 4: Restrictions

  • Restrictionsare not mandatory, but it is good practice to use them. They allow you to set conditions under which a rate is applicable—for example, to specify the maximum number of guests that can be checked in in each room. To do this, use the Minimum/Maximum Adults and Maximum Children restrictions.
    • For example, for a double room, we set Maximum Adults to 2 and Maximum Children to 1. This means that the rate will be offered for 1 or 2 adults + up to 1 child.
    • When searching for 3 adults, the rate will not be available.
  • Here's what the restrictions look like for the other rooms:

  • Record the rates.

Once we have created the rates, it's time to set the prices for each room.

Step 5: Open the seasons

  • Go to the Seasons page.
  • Add the start date from which the prices will be valid.
