The number generators in the system determine the way different elements in Clock PMS+ will be numbered. All elements  have standard number generators set starting from 1. You can specify what to be the format of each number generator and its starting value. To configure the number generators, from the navigation menu, select Settings->All Settings->Hotel->Numbering

Elements with number generators

A list of the system elements having a number generator:

  • Folio Number (1) - It allows you to change Next folio number details. If you want to change the folio number, we advise you to discuss that in advance with your accounting
  • Booking number (2) - It allows you to change the Next booking number details
  • Event number (3) - It allows you to change the Next event number details
  • Offer number (4) - It allows you to change the Next offer number details (used in the Events)
  • Cash payment number (5) - It allows you to change the Next cash payment number details.
  • Enquiry number (6) - It allows you to change the Next booking enquiry number details
  • Registration card number (7) - It allows you to change the Next registration card number details
  • Invoice generators (8,9) - These are number generators for the default positive and negative value documents. If you need to set up different or additional document types, please contact the support team.
  • Registration card auto-numbering (10) - You have the option to set an auto-numbering of the registration cards (upon registration card save or booking check-in). If you don't like to use this functionality, just select the Off (manual numbering) option.

Configuration

To change the number generator of a certain element, click the edit button in its row. For the setup of each number generator, you have the following fields:

  • Next Number (11) - Next number to be used. If the number is too long, you will get an error message. Use 'Number Length', 'Prefix' and 'Suffix' to set the number format desired. In the following examples, the number '100' is used.
  • Number Length (12) - Use this field to expand the 'Next Number' length with leading zeros. Example: '9'. The resulting number will be 9 digits long with the leading zeros – '000000100'.
  • Number Prefix (13) - Add a prefix to the resulting number. 

Example 1: '5'. The resulting number will be '5000000100'. 

Example 2: 'INV-'. The resulting number will be 'INV-000000100'.

  • Number Suffix (14) - Add a suffix to the resulting number. 

Example 1: '/CR'. The resulting number will be '5000000100/CR'. 

Example 2: '-2015'. The resulting number will be 'INV-000000100-2015'.

If your practice requires the use of several document types, you can set additional number generators for them. From the navigation menu, select Settings->All Settings->Documents->Document Number Generator. Follow the logic described here to add a new number generator and configure its format. All number generators added by you are visible on the list of number generators in the system.
